When Is a Client Removed from the Waitlist?
FullSlot automatically keeps your waitlist clean. Clients are removed when they're no longer reachable or no longer engaged — so you're always notifying people who actually want the slot.
Automatic removal
After booking a slot
When a client books a slot through FullSlot, they're removed from the waitlist within 24 hours. They got what they were waiting for — there's no reason to keep notifying them.
If they want to be back on the waitlist for a future opening, you can re-add them manually from the Waitlist tab.
After 3 missed notifications
If a slot goes unclaimed — meaning it opened up, the response window closed, and nobody booked it — every client who was notified is counted as a miss.
After 3 misses, a client is automatically removed. The reasoning: if a slot opened three times and they never responded, they've likely moved on. Keeping them on the list dilutes your waitlist and notifies people who aren't paying attention.
If they're still interested, you can re-add them.
After replying STOP (with no email on file)
If a client replies STOP to an SMS and has no email address in their record, they're removed from the waitlist immediately. There's no way to reach them, so they shouldn't stay on the list.
If they have an email on file, they stay on the waitlist and future notifications switch to email only.
After unsubscribing from all channels
If a client clicks the unsubscribe link in a notification email and chooses "unsubscribe from everything" or "remove me from the waitlist," they're removed.
After 90 days with no activity
Clients who were added to the waitlist but have never been notified (no slots opened for their appointment type in 90 days) are purged. This handles stale imports from CSV files or clients who were added speculatively.
Manual removal
Go to the Waitlist tab, find the client, and click Remove. They're removed immediately.
Use this when a client calls to cancel, books through another channel, or asks to be taken off.
What if I remove someone by mistake?
Re-add them. Go to Waitlist → Add Client, enter their name and contact info, and they'll be back on the list with a new position.
What clients see
Clients are never told they've been removed from your waitlist. If they were auto-removed and text you asking why they stopped hearing from you, you can re-add them at any time.
